Most AI ERP systems were designed with a particular user in mind. They provide AI-powered insights the individual requested, but more often than not, that user doesn’t act on the information they receive. Instead, they pass it along to those who do, creating a delay that hinders the efficiency and productivity AI is meant to deliver.

Who are the specific users AI ERP systems target? The finance manager reviewing the monthly close, the controller scanning exception reports, the operations lead monitoring dashboards. This makes sense as a starting point. These are the people who asked for visibility into what AI was finding.

But visibility and resolution serve different purposes, and in most organizations, the person with visibility into a problem and the person who resolves it are often two different people. Think about how an accounts payable team actually works when AI surfaces a duplicate invoice or a payment that does not match the purchase order.

The alert arrives in the AP manager’s dashboard. The manager follows up in a meeting or sends a message. By the time it reaches the AP specialist who processes invoices and knows the vendor history, the specific detail that triggered the flag has been summarized, forwarded, and stripped of the context that would have made it immediately actionable. The specialist opens the same system that AI has already reviewed and starts over.

The fixer needs something different from what the manager needs.

A manager needs a summary: how many exceptions this week, which vendors are flagged, and how much is at risk. A specialist needs the specific record, the relevant history, and a clear path to resolution without leaving the screen they are already working in. Those are different interfaces, different workflows, and often different products, and most AI ERP was designed to answer the manager’s questions.

The productivity story for AI ERP tends to focus on what it can detect, but detection is only the first step. In most organizations, the person who sees the insight and the person who acts on it are rarely the same. When AI finds the anomaly, routes an alert upward, and waits for a human chain to carry it back down to the person who can act, the time savings disappear in the handoff.

The people closest to the work, the ones whose daily output would actually improve, are the last to feel the benefit.
